ATC POSITION AVAILABLE: DEVELOPMENT CO-ORDINATOR
Auckland Theatre Company is seeking to employ a Development Co-Ordinator to provide a high level of day-to-day administrative support for fundraising activities and to assist the Development Manager to develop and maintain strong positive relationships with donors, sponsors, funders and other stakeholders.
A key purpose of the position is to coordinate and support the General Manager and Development Manager on a major capital fundraising campaign for a new theatre in the Wynyard Quarter onAuckland’s Waterfront, and develop new opportunities to maximise non-production related revenue streams for the Company.

Auckland Theatre Company is one of New Zealand’s leading theatre companies, engaging over 250 actors, creative personnel and technical staff each year. Seven to eight productions are created as part of the Company’s annual subscription season, which are performed in a variety of theatres, or on tour.

PURPOSE
The position is designed to provide a high level of day-to-day administrative support for fundraising activities and to assist the Development Manager to develop and maintain strong positive relationships with donors, sponsors, funders and other stakeholders.
A key purpose of the position is to coordinate and support the General Manager and Development Manager on a major capital fundraising campaign for a new theatre in the Wynyard Quarter onAuckland’s Waterfront, and develop new opportunities to maximise non-production related revenue streams for the Company.
Revenue Generation
- Update and maintain accurate prospective donor, funder and sponsor activity records and databases
- Coordinate individual and bulk correspondence with donors, sponsors, funders and stakeholders, including direct mail and emails
- Schedule and coordinate issuing of invoices and receipts, providing timely information and follow up reminders as required
- Schedule and coordinate appointments and meetings for the General Manager, Development Manager and Board with prospective donors as required
- Source information to support fundraising proposals and carry out research on donor prospects
- Draft proposals for prospective and current donors, sponsors, funders and stakeholders as directed by the Development Manager
- Record minutes of fundraising meetings
- Provide assistance in updating and maintaining the online presence of the campaign
- Coordinate and distribute regular updates, media releases and newsletters as required.
Delivery, Coordination and Reporting
- Coordinate requirements to ensure that all contractual obligations relating to sponsors, donors and funders are met in a timely manner
- Coordinate sign off of all marketing material with sponsors and funders
- Be the main contact for sponsorship and funding ticket requests and event enquiries
- Source advertisements, programme copy, branded collateral and other material required to deliver benefits to sponsors and funders
- Draft briefing notes, speech notes and event runs for sponsorship and Company events
- Manage invitation and guest lists for sponsorship and Company events
- Assist in coordinating Company and fundraising events
- Maintain accurate databases and files relating to all sponsors, funders and donors.
- Collate material required for funding and sponsorship auditing and reporting
- Attend de-briefings with major sponsors, donors and funders as required, take minutes and prepare documentation of meetings.
- Support the Development Manager to strengthen brand awareness and position in market and grow revenue streams through strategic partnerships, joint ventures and sponsorship research.
CONTRIBUTION TO AUCKLAND THEATRE COMPANY
A high level of professionalism is required in this role. A primary responsibility to the ATC and its artistic endeavors is essential. This includes but is not limited to:
- maintaining a productive and effective working relationship with all Auckland Theatre Company employees to promote a cooperative and harmonious working environment in order to facilitate positive employee morale, productivity, and continued improvement;
- Dealing with suppliers, contractors, creative staff and actors in a professional and courteous manner at all times;
- suggesting improvements in operations, processes, efficiency and service within the organisation;
- developing and maintaining a positive and professional profile for the Company in dealings with sponsors, donors funders, stakeholders and other third party organisations.
EDUCATION and/or EXPERIENCE
- Bachelors’ degree from a three-year college or university; and three years related experience and/or training; or equivalent combination of education and experience.
- Must be highly organised, have outstanding interpersonal skills, and good written and oral communication skills.
- Must have an understanding and feel for of the nuances of managing sensitive and confidential stakeholder and donor relationships.
- Must have an eye for detail and understand the importance of this within the context of managing relationships and stakeholder communications.
- Must have excellent computer skills including MS Office (Excel, Word and Outlook) and be adept at using the internet for research. Knowledge of online tools like invitation and content management skills an advantage.
It is advantageous but not essential to have relevant experience working in arts sector, or for a not-for-profit organisation.
