CIRCA THEATRE – ADMINISTRATION AND BUSINESS DEVELOPMENT MANAGER

This role provides an exciting opportunity for an individual with broad administrative experience and an interest in the arts to join the team at one of New Zealand’s leading professional theatres.
JOB PURPOSE
The purpose of the role is to provide quality administrative support to the Circa Council and the Theatre Artists Charitable Trust (TACT) in the operations and management of both entities and to source and develop new business opportunities to ensure the on-going success of Circa Theatre.
The Administration and Business Development Manager reports to the Circa Council and the Chair of TACT and is accountable for the administration of both organisations. This is an on-going contract position 30 to 40 hours per week.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
Administration and Operations
Provide support for and services to the Circa Council and TACT, including acting as Secretary for both organisations, organizing meetings, preparing agendas and writing minutes
Support the Council and Co-ordinator in implementing the Strategic Plan, in the areas such as fundraising, building upgrade, client liaison organizing and workshops. Responsible to the Circa Council for liaison and reporting (including financial reporting) to stakeholders
Provide assistance to single venture partnerships.
Pay the monthly accounts and deals with accounts when Treasurer is absent
Identify and apply for the rights for productions and apply for APRA rights as required
Maintain the Circa building and take responsibility for operational management issues such as venue accessibility, health and safety issues and building maintenance, and all aspects of the physical maintenance of Circa Theatre.
Ensure corporate and legal requirements are complied with
Provide administrative assistance to Marketing and general collaboration to achieve Circa’s marketing objectives
Sponsors and stakeholders
File reports and annual budgets to Creative New Zealand, the Wellington City Council and other funders
Work with the Marketing Manager in developing and enhancing the successful relationships with TACT and Circa sponsors.
Invoice sponsors
Organise meetings with funders and sponsors as required
Business Development
Development of new projects and initiatives in consultation with the Circa Council and TACT
Reaching out to existing and new sponsors and stakeholders to build relationships and revenue
Identify and approach possible sponsors for individual productions and develop sponsorship packages
REQUIRED SKILLS/QUALITIES
A solid background in administration and business development
Excellent interpersonal skills and an ability to build and maintain productive relationships with stakeholders and arts practitioners
Excellent verbal and written communication skills
Ability to manage multiple competing tasks
Flexibility to take on a range of duties
Self- starter and the ability to work in a small team
Experience with Microsoft Word, Excel, Xero
